How it works
Meet Listo — the list app that’s ready when you are.
A complete tour: what Listo does, how each feature works, what is free, what is Pro, and exactly what happens to your information along the way.
What is Listo?
Listo is a lists-and-notes app for iPhone, iPad and Android. It’s built for the lists real life runs on — the weekly shop, the hardware-store run, the packing list, the birthday party — and it works the same in English and Spanish.
Listo is Spanish for ready, and for done — which is what a checked-off item is. Our motto says the rest: Say it. Save it. Use it.
Three ideas shape everything in the app:
- Local-first. Your lists and notes live on your device in a private database and sync to your private account. No sign-up, and everything works offline.
- AI that helps, never decides. Voice and AI features make input faster, but you review every draft and nothing is saved until you tap Save. Every manual feature works with AI switched off.
- Truly bilingual. The interface, voice, planning and aisle grouping all speak English and Spanish natively.
Lists
Lists are the heart of Listo. Add items as fast as you can think of them:
- Type or paste. Paste a whole list from a message or a note and every line becomes an item.
- Suggestions. From the first letter, things you’ve added before appear as you type, followed by everyday items in English and Spanish — tap once to add. Suggestions come from this device’s own history and a built-in word list, never from a server.
- Two microphones. The plain mic inside the field is your phone’s own dictation — free, it just types words. The ✨ mic beside it is a voice list: say several things and they become separate items.
- Details when you want them. Quantities, prices and categories are optional, and editing is inline.
- Check, reorder, tidy. Check items off, drag to reorder, check or uncheck everything at once, or clear the checked items when you’re done. Each of these can be undone.
- Same gestures everywhere. Swipe left to archive or delete, with undo. Press and hold any list or note for a menu to favorite, duplicate, move or archive it.
Any list can be duplicated, shared as plain text, favorited, or archived. A progress bar shows how far along you are. Every list starts as a checklist; it can also become a planner.
Group by aisle
Turn on aisle grouping and your list rearranges itself into store sections — produce, dairy, meat, bakery, frozen and more. Listo recognizes everyday items in both English and Spanish using a built-in dictionary that runs on your device, so “cilantro,” “queso fresco” and “frozen peas” all land where they belong.
Under Settings → Store layout you can drag the sections into the order you actually walk your store, rename them, and add your own aisles — “Pharmacy,” “Pet food,” “Mercado.” Any item can be filed under any aisle from its edit row.
Templates & repeating lists
Some lists come back every week. Save any list as a template and start new lists from it in one tap — perfect for a camping checklist or a holiday dinner.
Or make a list repeat: daily, weekly on the day you choose, or monthly. When it resets, every item unchecks itself so the list is ready for the next trip — your groceries can be waiting fresh every Saturday morning.
Reminders
Add a reminder like “tomorrow at 9” or “every Saturday,” and Listo sends a notification that opens straight to the list. Reminders are scheduled on your device as local notifications — no server is involved.
Turn on Settings → Due date reminders and Listo also sends one notification at 8:00 on each day something assigned to you is due — “2 things due today: Buy candles, Book DJ.” These are scheduled on your phone too, and work offline.
Budgets & prices
Give a list a budget, add prices to items as you shop, and record what you actually spent. A clear indicator shows whether you’re over or under, so there are no surprises at checkout.
Planners & My tasks New
Some lists are shared out: chores, a trip, a birthday party, a move. Open any list, tap ⋯ → Use as planner, and each item gets an assignee and a due date. Use as checklist switches it back; nothing is lost.
- People. Add the people the list is for. They’re just names — they don’t need the app and can’t see the list. A shared list’s members can be added in one tap.
- Assign and date. Tap the round + beside an item to pick who and when: tomorrow, this weekend, next week, or any day on the built-in calendar.
- My tasks. Tap This is me on your own name, and everything assigned to you, on every list, collects on Home grouped into overdue, today, tomorrow, this week and later.
- Notifications. On a shared list, the person you assign gets “Ana assigned you Buy candles · due Sat” in their own language. A burst, like a note turned into tasks, arrives as one notification.
Planners, people, assignments and due dates are free, with no limit on how many you share.
Split costs New
Groceries for the cabin, tickets, gas: on any list, ⋯ → Split costs records who paid for what.
- Split each expense equally, by shares, or by exact amounts.
- See every person’s balance — who gets back and who owes — per currency.
- Listo suggests who pays whom to settle up, and you record each one when it’s paid.
Splitting costs is free and works offline. On a shared list, everyone on it sees the same balances.
Notes
Not everything is a checklist. Notes autosave as you type, and can be favorited, shared, archived and searched alongside your lists. Gate codes, recipes, gift ideas — they all live next to the lists they belong with.
- Notes inside lists. Attach a note to a list with Add note. On a shared list, its members can read it and its editors can change it.
- Turn into tasks. Write one task per line with a bullet or a checkbox — “- Buy candles @Ana by Friday” — and Listo turns them into items, with people and due dates, on a new planner or an existing list. It runs on your phone, free. You review everything before it’s added.
- Smarter extract with AI Pro. For notes written as prose, AI finds the tasks instead. Only the note’s text is sent — never the names of the people on your lists.
- Earlier versions. Before a note is changed by another device, a restore or turning it into tasks, the old text is kept. Restore it any time.
- Make a list from this. A note’s menu can hand its text to the AI List Builder.
Spaces, search & archive
Spaces are colorful, emoji-tagged folders — Home, Work, Kids, Vacation — with live item counts. Rename or recolor them any time, and move any list or note between them. Deleting a Space never deletes what’s inside.
Search looks across list titles, list items and note text. On iPhone and Android it ignores accents, so “jalapeno” finds “jalapeño.”
The archive keeps finished lists out of the way without losing them. Restore anything with a tap, or delete it permanently when you’re sure.
Voice lists Pro
The microphone with the ✨ badge is a voice list. On Home it starts a new list, named and filed for you; inside a list it adds to that list. Tap it once to talk, and again to finish. Talk naturally: “We need milk, a dozen eggs, two avocados and something for Sofia’s lunch.” Listo turns it into a clean, de-duplicated list. Here is exactly what happens:
- You tap the microphone. Listo never listens in the background, and Cancel discards a recording unsent.
- The app asks for microphone permission the first time.
- You speak. The recording stays on your device until you stop — up to 60 seconds on Free, or 5 minutes on Pro.
- The recording is sent securely to the Listo AI service, which transcribes it and organizes it into a structured list.
- The audio is discarded. It’s held in memory only for the request and is never written to disk.
- You review the items — remove anything, edit anything, pick a Space.
- Only when you tap Save is anything added to your library.
The AI never gets direct access to your lists. It returns a suggestion, the app double-checks it, and you decide what to keep.
AI List Builder Pro
Describe what you’re making or doing — “tacos for 12,” “repaint the guest bathroom,” “a weekend camping trip for four” — and the AI List Builder builds the list for you:
- Ingredients or supplies with quantities
- Approximate prices to help you budget
- Steps, and any warnings worth knowing
- Optional preferences like budget, dietary needs, location or materials
Correct any suggestion in place — name or quantity — before saving. Save the result as a new list, or merge it into an existing one — matching items combine instead of doubling up. Prices are estimates and vary by store, place and date.
Inside a list, ⋯ → Suggest items with AI looks at what you’ve started and offers what you might be missing, leaving out anything already there. The AI List Builder writes lists; it is separate from planners.
Links & photos Pro
Some lists already exist — they just aren’t in Listo yet.
- Paste a recipe link. Listo reads the public page and turns the recipe into an ingredient list with steps.
- Snap a photo. A handwritten list on the fridge, a recipe card from grandma, a receipt — Listo reads it and builds the list.
Only the one link or photo you choose is sent, it’s processed without being stored, and location data in photos is never requested. As always, you review the result before saving.
English & Spanish
Listo follows your phone’s language and can be switched in Settings at any time. It isn’t a translated menu: voice capture understands Spanish speech, the AI List Builder plans in Spanish, and aisle grouping recognizes Spanish item names — including the mixed-language lists many families actually write.
People’s notifications follow their own language: the same assignment reads “Ana assigned you Buy candles” on one phone and “Ana te asignó Comprar velas” on another.
Light and dark mode are built in, too: follow your device, or choose one.

Optional anonymous usage counts and crash reports can be switched off in Settings at any time, and never include the content of your lists or notes.
